Keep a tab on all your activities and appointment on a busy work schedule using Soffront CRM Calendar . The calendar allows you to visually schedule and manage your Activities and appointments. You will be able to identify schedules, availability and conflicts in your activities and manage them using drag-and-drop.
You can also setup popup reminders from your calendar which will appear on your home screen. This way you won’t miss any appointments or meetings even when you are busy with work.
- Log in to Saffron CRM home page
- On the top right hand corn you will find the activity reminder icon. The number on the icon indicates your pending activities.
- You can click on the icon to reveal a drop-down list containing the activity details.
- When you click on a particular activity from the list a detailed activity window opens.
- Here you can edit activity copy it or create a new activity.
- Now coming back to the activity list click on, “Open calendar” to access calendar view.
- By default it will open on today’s activity. You can locate past, present and future activities at a glance.
- Past activities are indicated in red
- Present activities are in orange
- And Future activities are in green.
- You can click on week to see how your calendar looks like on that week you can do the same for month.
- You can see all your activities in a list by clicking on Agenda or in a timeline format by clicking on Timeline.
New activity
- You can click on the new button or click on a blank space on the calendar where no activities have been scheduled
New activity window opens up
- You can type in the subject or choose from the list
- You can assign this activity to yourself or somebody else in your list.
- A default start time is selected; you can change it by clicking on the start time text box.
- A calendar appears. Select a date from the calenders
- Then select the start time from the drop-down list
- And the duration of the appointment, this will populate the end time as well.
- Click OK to save your settings.
- You can do the same for end time.
- New activity status are marked as scheduled by default.
- Type in the company name or choose it from the database
- You can select the company from the list by selecting a record and clicking on
- Or you can clear all selection by clicking on
10. Type in the location
11. You can make your activity public or keep it to yourself by selecting yes or no
12. You can set reminders say 10mins, 15mins or half an hour to remind you of this activity
13. You can invite people to this activity and check their availability from the select invitee’s window.
- You can type in a name or select a person from the drop-down list.
- You can select a name and click on add to add to the invitees list
- Or you can click on add all to add everyone
- Conversely click on remove to remove one name or remove all to remove everyone.
- Click on check availability to see availability of the people in the list.
- Availability of a person is shown in green
- And unavailability in red.
- You can invite others from contact list as well
- You can set reminder to remind others of this activity
- You can type in a small description of the activity in the details text-box
- Click save to save your activity.
Avoid ConflictSoffront CRM activity calendar will warn you try to create a new activity on an existing activity time slot
View Activity
You can view the details of an activity by selecting the activity and clicking View
Edit Activity
- Click on edit if you want to edit the activity.
- Then click save to save the changes.
Copy Activity You can create similar activity faster or activities with overlapping information by coping the activity and assigning it a new date and time or editing a few fields.Forward or reschedule an activity You can forward or reschedule an activity by selecting the activity and clicking forward from the child menu.
- You can add a note to it say, the reason it has been forwarded
- You can pick a specific date and time from the forward to calendar menu
- Or you can forward it to two business days keeping the time same.
- Click on Ok to save changes.
You can also do the same thing from the calendar view by just dragging and dropping the activity to when you want to forward it to.Delete Activity
- You can delete an activity by selecting the activity from the calendar view and clicking on delete.
- A message box will be displayed with message Event will be deleted permanently, are you sure?
- If you want to delete the activity click Ok or else Cancel.
iCal allows Users to send activity invitation from Soffront CRM to external contacts and block their Calendar for the activity. When the activity/ event is saved, Emails are sent out to the list of contacts with an .ics file containing information such as subject, location, start and end time etc. The email recipients can import this file to block their calendar. Note: This is supported by all email clients such as Google calendar, Thunderbird, Outlook etcFollow the steps below to use Soffront iCal
- Open Activities page then click on New to create a new Activity.
- Fill in all the credentials then click on Save to send out the email.
- The sent email will have a download folder attached.
- The Contact can download the folder and save it on their desktop.
- The Contact can open their Soffront calendar page and Click on iCal.
- On calendar page the contact can click on iCal button to open Import iCal dialog box.
- Then click on Choose File to select and open iCal file from the computer.
- Finally the Contact can click on Import to add the activity to their calendar.
